The Role
About the Opportunity
We have a fantastic opportunity for an enthusiastic, self-motivated and customer-centric individual to join our team at Apprenticeship Support Australia (ASA). As the Office Coordinator, you will be first point of contact for all visitors and members arriving at ASA’s Karratha office as well as managing the day-to-day general administration responsibilities.
This position is offered on a full-time, permanent basis located in Karratha.
Key Responsibilities
The role will include a range of day-to-day tasks including:
• Efficiently and professionally greet all visitors to ASA
• Management of meeting rooms calendar and provide assistance with the room set up, as required
• Ensure the reception, breakout area, meeting rooms, storerooms and cupboards are kept in a clean and tidy state
• Manage incoming calls to the general enquiries line, respond to client queries and make outbound calls as required
• Manage incoming and outgoing mail and other items and correspondence
• Manage the consumables for the breakout area, PPE and first aid kits
• Manage the issuing of temporary swipe cards and implement controls to mitigate security risks.
• Log maintenance issues on the Building Management portal and respond to contractor queries
• Provide support to the Karratha office of any Australia Post, Stationery, First Aid Kits and Consumables requirements
• Contacting contractors to schedule maintenance, as required
• Undertake a fortnightly stocktake of the stationery and order as required, including Australia Post express post envelopes and ASA envelopes.
• Provide the first line of support to troubleshoot AV and Airconditioning issues for staff and visitors
• Provide assistance for internal ASA events and functions, as required
• Provide administration support to the Team Leaders and Manager, as required
Selection criteria
About You
To be a successful mentor you will have the following skills and experience:
- Previous experience in a similar role
- Proven ability to interact with internal and external customers to ensure an exceptional level of customer service and satisfaction
- Strong verbal and written communication skills and a high attention to detail
- The ability to work well both individually and in a team environment
- Driven and self-motivated, with the ability to solve problems as they arise
- Drivers Licence, National Police Clearance & Working with Children Check (essential)
